Preparation of auction catalogue



Preparation of auction catalogue (class DEE Veh/ Eqpt/ Plants)

After collection of class DEE veh/ eqpt/ plants, a convening order should be received from Project HQ for Boards Of Officers of class DEE auction catalogue.  As per direction of Convening Order, the BOO will carried out a physical check up of the class DEE veh/ eqpt/ plants on ground and its documents.  Then prepare the auction catalogue as under:-  
              
1.
If any item not lifted from the previous auction catalogue, study and find out the reason why it was not lifted. Try to make a better option for it.
2.
Make group on category wise.
3.
The veh/ eqpt/ plants on custodian certificate at a particular location (other than HQ supply) should be combined in one lot. (If possible)
4.
If possible avoid mixing vehicle group into eqpt and plant group and eqpt and plant group into veh group. (The bidders those who are dealing with vehicles will not make any interest in other eqpt/plant and vis- versa.)
5.
The veh/eqpts which are not lifted on so many auctions should be included with recently downgraded, attractive veh/eqpts/ Plants.
6.
If any accidental or highly damaged veh/eqpts is there, it should be included with good appearance veh/eqpts. 
7.
Never include more than five numbers of veh/eqpts in one lot.
8.
Every lot should be equally attracted.
9.
Every lot must be logical and approximately equal on auction value. Never be in high difference.  
10.
The aim of preparation should be in such a way that, every lot may be lifted without loss to the Govt. (Settlement with in the power of CE.)

The following points also should be kept in mind while preparing class DEE auction catalogue:-
 
1.
First two rows should be in all pages as header. 
2.
Column No 10 & 11 should be sufficient space for fill at least five digit by hand by BOO and CE respectively.
3.
Column No 12 to16 should be filled by Project HQ after E-auction as the case may be.
4.
Space for initial of PO, Member 1 & 2 and OC unit should be provided in all pages except last page and get initial while signature.
5.
It should be prepared in seven sets under which two are unprised and five prised.
6.
Unprised copy should be kept as office copy and all other sets along with a soft copy hand over to PO in sealed cover.
7.
PO should be hand over the same to SO I (R) at Project HQ for further action.
8.
Remember, it is a fully confidential, so never discuss about this matter to any unauthorised persons.
