Class DEE
veh/eqpt/plants- ledger charging
After approval of Adm
sanction, that veh/eqpt/plant should be treated as UNSV (unserviceable or
salvage). At this stage, the user unit should be deposited all class DEE Adm
veh/eqpts/plants to Supply Company for its further disposal through auction. So, the class DEE veh/eqpt/plant should be convoyed to
Supply Company along with its log book and class DEE BPS (in manuscript and
original) on convoy note. Supply will inspect veh/eqpt on ground and
check all spare parts available with them as per technical inspection report. If
all the fitment items are correct as per technical inspection report, supply
will accept convoy note and return a copy to user unit. All collected class DEE
Adm veh/ eqpts should be kept in class DEE Park in a decent manner so that
removal of it on lifting can be easy.
On the
base of Adm sanction and accepted convoy note, the user unit will charge off
the Veh/Eqpt/Plants from their ledger charge against LRIV/ IV as the case may
be. In supply, if the veh/eqpt was on loan issue, accept
them on LRRV and clear transaction in Loan ledger and then make a TIV/TRV (Transfer issue
voucher/ Transfer receipt voucher in duplicate. One control from V/E/P control
register and other from class DEE control register. It also should be filed
accordingly) and transfer it from Central ledger to class DEE ledger. If it was on regular issue, accept IV directly in to
class DEE ledger after control as RV class DEE. (While
taking of any veh/eqpt/plants on class DEE ledger charge, then confirm that
particular veh/ eqpt/plant is not held in any other ledger charge. So carry out
a check-up that is not held in any other ledger charge. Any mistake in this
case, will face serious audit observation in latter stage.) If any veh/eqpts
taken on class DEE ledger charge as an irrecoverable, then charge off it on the
same time from ledger charge by making a CIV against Adm Sanction. Remember one
copy of Adm Sanction should be kept in file as a supporting document of CIV for
irrecoverable.
All moveable class
DEE items should be shifted to Supply Company except those are heavy like
HMP/WMP etc (or excessive expenditure involved.) Such class DEE items should be
deposited on ‘Custodian certificate’ (click here for Custodian certificate) with its IV. All dozers, Road rollers,
excavators, crane etc should be shifted to supply.) (If
the items lying here and there as on other unit locations on custodian
certificate, the bidders those who are making visual inspection for calling
auction bid, will not visit to the other unit site. If so, the items will
remain as it is on their ground and get deteriorated, thus it is loss to the
Govt. So try to deposit all class DEE Adm veh/eqpt/plants to Supply company as
early as possible.)
