Log Book Entries

Log book and its entries

        Log book is an important document of a veh/ eqpt/ plant. It should be maintained properly and keep always update. All histories of the veh/eqpt/ plants like purchase. Issue, maintenance, repair, classifications, etc should be made available with logbook in any stage. Always Keep a practice that the entries from left to right in log book. There are various stages to make entries in log book which are as follows:-

             (a)      Log book initial entry (by SSTC/ Base Depot) (Consignee)                        

         The initial entry in a log book is very important and required up to the last end, even up to issue of Adm sanction and disposal off.  So this should be entered such a way that, it should not be lost even a word or a sentence by broken up of the edge of paper and faded up by moisture / water. On missing of the relevant information, user unit and Wksp will face difficulties at the time of class DEE downgradation of them. The officer who making signature on the initial entry should ensure the following entries made available in the log book.

1.
Correct make & type and nomenclature of veh/eqpt/plant.
2.
Chassis No/Machine No, Engine No, FIP No, Compressor No/Alternator No
3.
Make & Type of power unit and its capacity/ HP
4.
Supply Order Number and date.
5.
Vender name and location of collection.
6.
Unit price/ book value.
7.
Date of induction in to service.
8.
Make & type, size and quantity of tyre along with Srl number.
9.
Make & type, Capacity and quantity of battery.
10
Receipt and issue details

Remember the above initial details are very essential and must be entered without fail.

 The consignee unit, also want to make a final entry that is after class DEE/auction and    lifting of them as Auction and issue details

              (b)      Log book entry  by Work Shop
            
The following entries should be made in log book by maintenance work shop.

1.
Initial inspection and classification.
2.
KPL/H   PL test report.
3.
Warranty repair / defect report/ recurring defect report / manufacturing defect details if any.
4.
Running repair details with job number, date in – out and KMs/HRs in- out. Replacement of major items should be entered in red ink with its number if any.
5.
BER and issue details of TTB items in red ink.
6.
MMT repair details (Mobile Maintenance Team)
7.
Any modifications made by wksp and its authority.
8.
Annual technical inspection and transfer inspections.
9.
Class Csp / CEE and DEE downgradation entries in red ink.
10.
Class Csp up gradation in red ink.

              (C)      Log book entry  by user unit.
          
          The following entries should be made in log book by user unit.

1.
Receipt record in red ink.

2.
Casualty publication regarding BA/EM No allotment.

3.
Driver /Operator record.

4.
Monthly Kilometer/Hour run record.

5.
Daily, weekly & monthly maintenance record.

6.
Tyre rotation record.

7.
Engine oil, gear oil, Hyd and other oil change records.

8.
Part XII Order regarding inter change of tyre and battery if any.

9.
Issue of tyre / battery from unit ledger charger if any.

10.
KMs/HRs closing certificate for class CEE and DEE downgradation.

The log book should be maintained properly and kept under lock by user unit. Issue of log book to any unit should be recorded properly.

              (d)        Log book entry by Base Wksp.

          The following entries should be made in log book by Base Wksp.


1.
Class CEE receipt record. (By R&I Section) 

2.
Repair details with job number, date in – out and KMs/HRs in- out. Replacement of major items should be entered in red ink with its number if any. (By concerned repair way)

3.
Final inspection and up gradation from Class CEE. (By CI Section)

4.
Issue record. (By R&I Section)
